Duties and Responsibilities of the Dean
- Chair the Faculty committees, implement the decisions taken, and ensure the regular and effective functioning of the Faculty units.
- Report to the Rector on the general status and functioning of the Faculty at the end of each academic year and when necessary.
- Submit the Faculty's budget and staffing needs, together with their justifications, to the Rectorate, and submit budget proposals to the Rectorate after obtaining the opinion of the Faculty Executive Board.
- Carry out general supervision and oversight of the Faculty's units and personnel.
- Ensure that the Faculty's education and training, scientific research, and publication activities are carried out regularly and effectively.
- Ensure the rational and efficient use and development of the Faculty's teaching capacity.
- Ensure the provision of necessary social services for students and the implementation of necessary measures concerning the security of the Faculty.
- Supervise, monitor, inspect, and control the activities of the Faculty and ensure that the relevant processes are concluded.
- Perform other duties assigned under the Higher Education Law No. 2547 and relevant legislation.
Duties and Responsibilities of the Vice Dean
- Assist the Dean in carrying out academic and administrative affairs.
- Contribute to the effective and efficient implementation of education and training activities.
- Contribute to the development of policies and strategies aimed at improving education and training processes within the Faculty.
- Monitor the regular implementation of education and training activities.
- Act on behalf of the Dean and carry out duties on behalf of the Dean when the Dean is not available.
- Contribute to the coordination of the activities of Faculty boards and committees.
- Assign duties to managers and personnel under their responsibility, monitor the execution of tasks, and request information and reports when necessary.
- Support efforts aimed at improving the academic and administrative activities of the Faculty.
- Perform other duties assigned under the Higher Education Law No. 2547 and relevant legislation.
Duties and Responsibilities of Department Chairs and Vice Chairs
- Ensure that the educational, training, and research activities of the department are carried out regularly and effectively.
- Conduct departmental activities in accordance with the objectives and principles set forth in higher education legislation.
- Ensure the effective functioning of the academic structure and academic divisions within the department.
- Ensure the effective, efficient, and economical use of resources.
- Represent the department at Faculty Board meetings.
- Monitor academic and administrative developments concerning the department and carry out necessary work to address emerging issues.
- Identify the academic personnel and staffing needs of the department and submit them to the Dean's Office.
- Monitor the effective fulfillment of the duties and responsibilities of academic personnel.
- Contribute to the department's activity reports, strategic planning, and performance-related activities.
- Ensure the regular implementation of undergraduate and graduate education processes.
- Ensure that graduate examinations and application processes are conducted in accordance with relevant legislation.
- Carry out efforts to resolve students' academic and administrative issues.
- Ensure the preparation of course and examination schedules and their announcement to relevant students and faculty members.
- Monitor graduation projects, graduate theses, and academic advising processes.
- Perform other duties assigned under the Higher Education Law No. 2547 and relevant legislation.
Duties and Responsibilities of the Faculty Secretary
- Support the preparation of agendas and the organization of meetings of the Faculty Board, Faculty Executive Board, and other relevant boards and committees.
- Participate in administrative activities such as activity reports, strategic planning, internal control, and related processes, and ensure that the results are communicated to the relevant units in a timely manner.
- Ensure the preparation and follow-up of documents related to academic and administrative personnel procedures.
- Coordinate the Faculty's official correspondence and document flow.
- Ensure that personnel records are maintained regularly and kept up to date.
- Plan, monitor, and conclude cleaning, maintenance, and repair activities of Faculty buildings.
- Contribute to identifying staffing and personnel needs of administrative staff.
- Support activities related to the preparation and implementation of the Faculty budget.
- Ensure the effective, efficient, and economical use of Faculty resources.
- Ensure that statistical information related to education, training, and personnel procedures is kept up to date.
- Carry out activities related to the procurement of machinery, equipment, and other materials required by the Faculty.
- Support activities related to the organization and use of working areas.
- Ensure that necessary security measures are taken within the Faculty and coordinate related activities with relevant units.
- Participate in civil defense and emergency preparedness activities and ensure the necessary coordination.
- Contribute to improving harmony, cooperation, and working arrangements among Faculty personnel.
- Monitor performance evaluation and in-service training processes for administrative personnel.
- Ensure that work is carried out in accordance with ethical principles, internal control regulations, and relevant legislation.
- Perform other administrative duties assigned by the Dean and Vice Deans.
Duties and Responsibilities of the Administrative Supervisor
- Report electrical, heating, water, telephone, maintenance, and repair needs arising in Faculty buildings to the relevant technical units and follow up on the processes.
- Monitor the general order and continuity of services in the Faculty buildings.
- Ensure that buildings, classrooms, offices, and common-use areas are used regularly and functionally.
- Monitor cleaning, maintenance, and environmental arrangement activities.
- Provide administrative support for the organization of conferences, meetings, seminars, and similar events.
- Monitor the general order and conditions of use of Faculty buildings and their surroundings.
- Ensure that items left behind or found in classrooms are safely kept and returned to their owners.
- Coordinate renovation and technical works carried out within the building with the relevant units.
- Monitor common needs such as printers, stationery, and similar supplies used within the Faculty.
- Ensure the orderly use of stands, posters, and announcement areas within the Faculty.
- Ensure that the necessary physical preparations are made for examinations and other events held within the Faculty.
Duties and Responsibilities of the Student and Academic Personnel Affairs Unit
- Carry out the registration and follow-up procedures for course schedules determined by departments and relevant units at the beginning of each semester.
- Carry out procedures related to the allocation and use of appropriate classrooms in accordance with course schedules.
- Carry out classroom and space allocation procedures for approved activities of Faculty student societies.
- Prepare, file, and forward Faculty Executive Board decisions concerning students to the relevant units.
- Follow up on students' medical reports in accordance with relevant legislation.
- Carry out and monitor students' internship procedures.
- Prepare Faculty Executive Board decisions concerning double major, minor, and transfer procedures and follow up on the related processes.
- Follow up on administrative procedures related to student disciplinary investigations.
- Carry out domestic and international assignment procedures for academic personnel in accordance with relevant legislation.
- Carry out correspondence and follow-up procedures related to assignments conducted within the scope of projects.
- Prepare Faculty Board correspondence related to course opening and course closure procedures.
- Prepare and follow up on internal and external official correspondence.
- Ensure that academic personnel records and student files are organized, archived, and kept up to date.
- Carry out procedures and timesheet processes for part-time student employment.
- Carry out and monitor timesheet procedures for permanent workers.
Duties and Responsibilities of the Purchasing and Materials Officer
- Carry out procedures related to the procurement of stationery, consumables, spare parts, and other materials required by the Faculty.
- Carry out procedures related to the purchase, distribution, receipt, and inspection of materials.
- Carry out registration, tracking, maintenance, and repair procedures for the Faculty's fixed assets.
- Conduct fixed asset inventories and follow up on the disposal of materials that have reached the end of their useful life in accordance with relevant legislation.
- Carry out procedures related to the procurement of goods and services within the scope of the Faculty budget.
- Carry out procedures related to the procurement of materials and services within the scope of scientific research projects.
- Conduct market research for the procurement of goods and services and prepare the necessary documents.
- Follow up on the procurement of materials to be used for the maintenance and repair of Faculty buildings.
- Ensure that records related to purchasing and materials procedures are maintained regularly and kept up to date.
- Perform other duties assigned under relevant legislation and by the Faculty administration.
